Rate cards that price the whole build-up
Set up each client’s card once: the pay rate per position, and every component on top — statutory, accruals, operational, service fee — each posting to its own ledger account. Dated versions mean a rate change never reprices last month.
- One rate card per client and region, with dated versions so historic weeks price against the card in force then
- Pay rate per position, plus statutory, leave and sick accrual, PPE and service-fee components as % of pay or rand per hour
- Per-client toggles for each component, and the GL account each portion posts to
- Overtime, Sunday and public-holiday buckets with BCEA defaults you can override per card
Hours captured once, approved once
Weekly timesheets per client site, with an approval state a client contact or your own supervisor signs off. Hours arrive by hand, by file import, or pushed straight from your time-and-attendance system.
- Dated placements — worker, site, position — so a temp who moves mid-week still prices against where they actually worked
- Weekly timesheets per site with approval, and lines that snapshot the position so later corrections never rewrite past costs
- Import from your clock system or push hours via the API; a re-import updates rather than duplicates
- Hours reconciliation reports so nothing billed is unpaid and nothing paid is unbilled
Costing, invoicing and payroll from the same numbers
Cost a client’s week in one click, review the sheet site by site, then generate draft invoices — one per client department, with the full detail your client will ask about — while payroll picks up the same approved hours at the pay rate.
- Costing runs per client and period: site × position × rate bucket, fully itemised, revertible while invoices are still drafts
- Draft invoices per client department with full line detail, or a summarised print per site if the client prefers
- Client accrual sub-ledgers — leave, sick, PPE — accrued when invoiced and released when spent, with AOD tracking
- SARS-compliant payroll from the same approved hours: payslips, EMP201, UIF, EMP501 and IRP5, with GL dimensions tagged by region and site
Frequently asked questions
What does TES software do that payroll software does not?
Payroll software pays workers. A labour broker also has to invoice clients for the same hours at a different rate, with a build-up of statutory costs, accruals and a service fee on top — and keep the two sides agreeing. Zealo does both from one set of approved hours and one rate card, so the invoice and the payslip can never drift apart.
Can we import hours from our time-and-attendance system?
Yes. Hours can be captured by hand, imported from a file, or pushed directly from your clock system through the API. Every route goes through the same capture, and a re-import updates the week rather than duplicating it, so a hand-captured correction is never overwritten.
How are client invoices grouped?
One draft invoice per client department, with every line showing site, position, rate bucket and hours × rate. Clients who want a shorter document can have the printed invoice summarised per site while the detail stays on the record for reports and disputes.
Which Zealo plan includes labour broking?
Labour broking (TES) is on the Pro plan. Everything else Pro includes — full accounting, payroll with ETI, advanced reports, API access and the MCP connector — runs on the same records, so client accounts, invoices and payroll all live in one system.
